Digitising photographic archives

digitising photographic archives

Digitising photographic archives involves complex processes across different areas. Within Artyplan’s digitalisation, document management and digital preservation division—Artyplan Document—we have evolved and adapted to meet these changing requirements.

From the outset, this division has developed protocols to define and standardise working procedures, as well as quality policies reviewed annually to ensure a professional service.

Photograph digitisation process

Correctly identifying the appropriate procedure is essential when digitising photographs, as original photographic archives can be highly sensitive to light, heat or damage caused by improper handling.

In addition to using specialised photographic scanning equipment, some archives may deteriorate under intense light exposure from scanners, while others may already be undergoing degradation processes where heat can accelerate damage.

Defining the appropriate procedure is therefore a key factor in establishing the digitisation system. This often depends on the conservation status of the original archive.

Steps for digitising photographic archives

The workflow followed by the Artyplan Document team includes several actions:

  • Adjust the position of the original on the table and the height of the camera.
  • Adjust the lens focus.
  • Carry out an exposure test and adjust according to lighting conditions (white levels below 255).
  • Ensure that exposure remains consistent throughout the session.
  • Regularly check and adjust monitor colour calibration.

If photographs cannot be removed from the archive due to conservation requirements (such as controlled temperature conditions), the Artyplan Document team travels to the location where the originals are stored to carry out the work. This approach allows us to preserve the condition of the originals while ensuring direct supervision by your business if required.

As outlined, before starting any digitisation process, it is essential to analyse each case and define the most suitable method. This involves establishing workflows and processes tailored to each project.

Our Artyplan Document team consists of specialists who fully understand the procedures required to manage photographic collections properly, always considering preservation and conservation needs.
